Check in from your phone
Face check-in, QR code scanning, and location zone verification on the mobile app, with every error and state.
When a shift is ready, the app offers the check-in methods your admin enabled, each as its own card on the check-in hub:
- Face Check-in: "Check in with your face."
- QR Code: "Scan a workplace QR code."
- Location Zone: "Verify your location manually or enable automatic zone monitoring", with a live count such as "2 zones available".
Pick a method and the app walks you through it, confirms, and starts your timer. Each method needs its permission up front: the camera for face and QR ("Required to scan your workplace QR code" / "Required for face verification"), location for zones.
Face check-in
The camera opens with a frame for your face. Live guidance walks you into a good capture before verification runs:
- "Hold the camera at eye level"
- "Center your face"
- "Move closer" / "Move back a little"
- "Need more light" / "Too bright, find some shade"
- "Looks good" then "Hold still" as it captures
Results are plain. "Check-in successful!" starts your timer, and the screen can show a confidence percentage and whether liveness was verified or not confirmed. Failures each produce a specific message instead of a generic one:
| Message | What it means |
|---|---|
| "Face not set up. Go to More, Face Check-in Setup first." | You have not enrolled yet. |
| "Face not recognized. Try better lighting and look directly at the camera." | The capture did not match. |
| "Face check-in is available only when exactly one active shift is open." | Open the assigned shift first. |
| "Camera access is needed for face setup / verification." | Camera permission is off. |
If verification will not pass, Report an Issue lets you explain what happened ("wearing sunglasses, bad lighting") and notifies your manager to review the check-in.
QR code
The scanner opens; point it at the code posted at your workplace and align it in the frame. Rotating codes work the same way, they just change more often than a printed photo can keep up with. "QR code accepted" confirms the scan. Errors are specific:
- "This QR code doesn't belong to your organization, or has expired."
- "Wrong QR code. Please scan the correct one for this workflow."
- "QR code not recognized" / "QR verification failed"
Location zone
The zone screen verifies your position against a polygon boundary your admin drew:
- "Tap to verify your location" starts the check.
- The app walks through "Getting your location" then "Verifying location".
- Inside a zone it can pre-warm: "You're inside Main Office, tap to verify".
- Success reads "Check-in Successful" with the zone name, or "Check-in with Warnings" if something needs a second look.
- Outside, you get "Not Within Check-in Area" with your Distance to Zone, whether you are inside, away, or in a buffer zone, and how far you are from the boundary.
A live map shows the zone, your position (In zone / Out of zone / finding your location), distance, accuracy, and direction readouts, with zoom and fit controls. The screen also surfaces GPS Tracking state, accuracy warnings ("Location accuracy too low, move to an open area"), Anomalies Detected when unusual patterns like spoofing are flagged, and Suggestions to fix them.
If your GPS accuracy is poor, the app asks before you try: "Your location accuracy is high. You can still try to check in, but it may be rejected if you are not inside the zone", with Attempt check-in or Wait for better signal.
Location check-in needs permission. Denied access shows "Location Access Denied" with an Open Settings button straight into your device settings. If location services are off entirely, the zone shows as unavailable.
Background zone monitoring
You can enable Automatic zone monitoring so the app asks for Always location access and sends arrival alerts. It is off by default; manual location check-in works without it. The app is clear that it uses polygon zones with background GPS, not OS circle regions. If your organization has no zones configured, the option stays off with an explanation.
Errors across all methods
Beyond the method-specific messages, check-in can fail with a plain reason:
- "No internet connection. Check your network and try again."
- "You're not at the workplace. Move closer and try again."
- "Permission denied. Please allow access in your device settings."
- "Request timed out. Try again."
- "Too many attempts. Wait a moment and try again."
- "Location verification failed" / "You're
{distance}away. Move closer to the workplace."
When a shift cannot start
If the button is unavailable, the app tells you why instead of failing later:
- "This shift window has ended. It can be reviewed, but it cannot be started."
- "This shift has already ended."
- "Check-in opens near the scheduled start time."
After check-in
Your running shift shows elapsed time, break steps, and what is next, the same control room as the web. All Clear confirms "Identity verified. Continue to the next step." If timing data is briefly unavailable the app says "Your shift is still active. The live timer will resume when timing data is restored." Clock out or cancel from the same screen, with a confirmation before you leave a shift early.
