Check-in systems

Set up QR codes, face check-in, and location zones, control how strict verification is, and manage your team's setups.

Check-in ("AI-powered face check-in and flexible QR/location zone options ensure secure, accurate employee check-ins.") is where you build the three ways members verify themselves. Three tabs split it: QR Codes, Face Check-in, and Location Zones.

QR Codes

The QR Codes tab ("Manage static and rotating QR codes for check-in.") lists every code you have made with a "{count} QR codes found" counter and a Create QR Code button. The table shows Label, Type (static or rotating), Status (Active / Inactive), Created At, and Actions.

Creating a code

Create QR Code opens a form:

  • Label: a descriptive name ("e.g., Main Entrance"). Required.
  • Type: Static or Rotating ("Generates a new QR code at a specified interval.").
  • Rotation Interval: how often the code changes, for rotating codes, with a unit picker (Seconds, Minutes, Hours, Days, and so on). Must be at least 1.
  • Start Date (Optional): when the code becomes active; blank means immediately.
  • Expiration Date (Optional): when it stops working; blank means never.
  • Time Restriction: limit check-ins to specific hours and days of the week.
  • Security Options: extra validation layers for check-ins.

A live QR Code Preview renders the code as you type ("Enter a label to see the QR code preview."). On success it confirms "QR Code created!".

Managing a code

Each code's View Details opens QR Code Details ("Review and manage settings for this QR code.") with four sections:

  • Overview: type, status, a Display Mode badge, an editable Label, and an Active Status toggle ("When active, users can scan this QR code to check in.").
  • Share Link: a display link for check-in stations and screens, with Copy and Open. Rotating codes show an "Auto-changing secure code" URL.
  • Distribution: Download QR (PNG or SVG), Generate A4 Layout (a printable poster you can title, add instructions to, and brand with your org name), and Launch Display for a kiosk screen. Display mode is only available for active rotating codes.
  • Activity & Reports: export the code's scan log as CSV, Excel, or PDF, each reporting "{n} scans • {s} success • {f} failed".

A Danger Zone holds Delete QR Code ("Permanently delete this QR code and all associated scan history. This action cannot be undone.") behind a confirmation.

Face Check-in

The Face Check-in tab has two cards: settings and setups.

Face Check-in Settings

Face Check-in Settings ("Configure face check-in for your organization.") controls four toggles and a security level:

  • Enable Facial Check-In: "Allow users to check in using face verification."
  • Enable Face Setup: "Allow users to set up their face for check-in."
  • Allow User Setup Deletion: "Allow users to delete their own face setup. All deletion actions are logged in the activity log and audit trail."
  • Allow User Re-Setup: "Allow users to re-set up their face check-in. All re-set up actions are logged in the activity log and audit trail."

Security Level sets how strict verification is:

Save Settings commits the changes.

Setups

The Setups card ("Recent face check-in setups in your organization.") lists each enrolled member with User, Last Check-in, Setup Date, and Actions (View Details, Delete Setup behind a "This action cannot be undone." confirmation). A counter reads "{count} setups" and a refresh reloads the list. Empty: "No setups found. When members complete face setup, they will appear here with check-in history." Without the View Setups permission the list is hidden with "Setups hidden."

Location Zones

The Location Zones tab ("Manage and monitor location zones for location-based check-ins") has two sub-tabs: Manage zones and Live map.

The list shows each zone's Name, Status (Active / Inactive), Created, and Actions, with a "{count} location zones found" counter and Create Location Zone / Refresh Location Zones actions.

Creating a zone

Create Location Zone opens a two-panel editor: a map on one side and a Configuration form on the other.

The map's Drawing Tools let you Draw Polygon (click to place points, a green line connects each click, click the starting point to finish), Clear Drawing, Undo Last Point, and Lock / Unlock Drawing. A readout shows the polygon's Type, Points, and Area (in square meters or acres). You can Search for a location or use My Location; if location access is denied it falls back to a world map.

The Configuration panel takes a Location Zone Name ("e.g., Main Office") and Description, then four tabs:

  • Events: choose which location events to record (Track Enter, Track Exit, Track Inside, Track Outside). The tip is explicit: "Location zones power presence - they do not silently clock workers in. Attendance still uses face, QR, or GPS in the shift check-in step."
  • Zone Boundaries: optional rings outside your shape. The Alert Zone warns people they are nearing the edge; the Safety Zone "absorbs GPS drift so check-ins are not rejected at the boundary."
  • Unusual Activity: automatically flag suspicious movement (impossible speed, boundary flicker, GPS spoofing) with a Speed Limit (km/h) and Max Events / Hour, plus Notify on Unusual Activity for admin alerts.
  • Check-In: a note that "Silent automatic attendance is disabled. GPS is a shift validator - workers complete check-in in the app."

Create Location Zone saves it (a zone needs at least 3 points to form a polygon).

These three systems are the validators a shift can require. Once a QR code, face setup, or zone exists, you attach it to a shift's check-in step in the shift builder; members then satisfy it inside their workflow.
