Shifts and the builder

Schedule work, build shift steps in the visual builder, manage templates, and read the records every shift leaves behind.

Shifts ("Schedule shifts, open the builder, and review completed records.") is the operational heart of Sharkforce: a shift defines when people work, where, and what they must prove while doing it. Three areas split it: Schedule, Builder, and Records.

The operations hub

The top of the page reads the operation live with four counters:

  • People working now ("Shifts in progress or waiting to start")
  • Scheduled today ("Active shifts scheduled for today")
  • Active shifts ("Ready to run")
  • Needs setup ("Missing steps or schedule")

Schedule

The Schedule tab lists every shift you have created, with a "{count} shifts found" counter, a Select all checkbox, and a Create Shift button (or Limit Reached when your plan caps shifts). A table shows Shift, Schedule, Live, Setup, Status, and Actions, with Ready / Needs setup / No schedule set / No steps markers.

Each shift card or row shows its {count} steps, {count} check-ins today, {count} live now, and when it was last Updated. An actions menu offers Shift overview, Edit shift details, Duplicate, Enable / Disable, and Archive.

Bulk selection adds Enable Selected, Disable Selected, and Archive Selected. Sync from Clerk reconciles membership, and Refresh data reloads the list. Empty state: "No shifts yet. Create your first shift to get started."

Archiving a shift

Archive asks before it runs: "This will archive the shift '{name}'. Historical records remain available in analytics, reports, activity, and payroll. Active shifts can finish, while no new executions will start." Bulk archive asks you to Type {token} to confirm. Archived shifts keep their history; they just stop starting new runs.

Duplicating a shift

Duplicate on a complex shift warns "This shift contains many steps and connections. Duplication will create a complete copy with a new name." before it builds the copy.

Creating a shift

Create Shift opens a four-step wizard with a "Step {current} of {total}" progress label:

  1. Information: "Name, description, and locations."
  2. Schedule: "When and how often it runs."
  3. Time: "Configure shift times."
  4. Review: "Confirm & create."

Validation is strict and tells you exactly what is missing: "Name is required", "Please select at least one day", "Start date is required for recurring shifts", "At least one day must be selected for weekly shifts", "Please configure the shift times", and "Enable overnight when the end time is on or before the start time." If you skip the time step it applies a default all-day schedule (00:00 - 23:59) and tells you it did.

Create Shift / Update Shift confirms with "Shift created successfully" or "Shift updated successfully."

Builder

The Builder tab ("Shift Templates - Discover, create, and manage shift templates.") holds your templates and the visual step editor. My Templates ("Manage your custom templates and share them with your team") lists what you have saved.

To create a template, the help text spells it out: "1) Create or open a shift 2) Build your steps 3) Click 'Save as Template' (the template action in the top bar) 4) Choose category + difficulty, then save." Templates can be shared with your team.

Inside the builder you arrange the steps a member walks through: the check-in method (QR, face, location zone), tasks, breaks, and evidence requirements, in the order you want them enforced. What members then experience is documented in check-in and shift execution.

Records

The Records tab is the read side: every shift execution leaves a record you can search, filter, and inspect. Without the view-records permission it shows "Access Restricted - You do not have permission to view records."

Records use the same status taxonomy as the rest of the app (Completed, Late, Early departure, Auto-closed, No-show, Timed out, Stalled, and so on), so a record reads identically here, on the dashboard, and in a member's own history.

Shifts are what generate everything else: the live dashboard counters, the member's schedule, the records behind reports, and the hours behind payroll. Build them carefully; an unclear shift produces unclear records.
