Agreements

Bind document templates to your team, send them on join, on demand, or on a schedule, and track who has signed.

Agreements is where you manage the documents members sign. The sidebar groups it as Agreements, and the main page inside it is Assignments: "Bind templates to your team. Agreements are sent to employees automatically on join, on demand, or on a recurring schedule."

Assignments

An assignment connects a document template to the people who must sign it. The Assignments page lists every one with a "{count} assignments" counter, a New assignment button, a Refresh, and a search ("Search assignments...").

The table shows Template, Scope, Trigger, Cadence, Status, Envelopes (with a "{signed} of {total} signed" sub-label), Created, and Actions. Filters narrow by Trigger (All triggers, On join, On demand, Recurring), Status (All statuses, Active, Inactive), and Visibility (Active only, or Archived to see archived ones). Each row opens its signers subpage.

Creating an assignment

New assignment opens a dialog ("Choose a template, who should sign it, and when it is sent.") with three sections:

  1. Template: pick the document employees will sign. Only published templates with signature fields can be assigned; an unpublished one shows "Not published - add fields and recipients to use it." A Preview template link lets you check it first.
  2. Who signs: scope it to All employees, A specific role, or A specific employee. With no roles yet it prompts "No roles yet - Create a role to scope assignments to a group of members."
  3. When it is sent: pick the trigger.

The three triggers:

Recurring assignments take a Re-sign every cadence (a number plus days, weeks, months, or years, with Monthly / Quarterly / Annual presets; "e.g. 365 = yearly").

Managing an assignment

Each assignment's actions include Edit, View signers, Send now (for on-demand; reports "Sent to {count} signer(s)" or "{count} signer(s) already had a pending document"), Activate / Deactivate, and Archive / Restore.

Signers

Opening an assignment shows Signers - {template} ("Who has been assigned and their signing status."), split into Signed ("Signers who finished signing this agreement.") and Pending ("Signers who still need to sign."), with a "{signed} of {total} signed" count.

The signer table lists Signer, Email, Status, and Signed. Statuses read Not sent, Pending, Signed, Voided, or In progress. Empty: "No signers match this scope yet."

Envelopes

Each time an agreement goes out it creates an envelope per signer; the Envelopes column tracks how many exist and how many are signed. This is the same Docshark signing flow members complete in their own Signatures queue.

Templates and compliance

The sidebar's Agreements group also holds the Templates library (the documents themselves, built in Docshark) and a Compliance view for tracking recurring re-acknowledgment obligations across the team.

Agreements need the Manage Agreements permission; without it the page shows "You need the Manage Agreements permission to view this page."
