Payroll
Set compensation, check payroll readiness, run pay runs, and configure overtime, currencies, and tax regions.
Payroll ("Manage compensation, run payroll, and configure tax settings for your team.") turns recorded time into pay. Its tabs cover the whole cycle: Readiness, Runs, Dashboard, Run Payroll, Compensation, Exports, and Settings.
Dashboard and readiness
The Dashboard tab opens on a Payroll Dashboard with summary cards:
- Members on Payroll ("With compensation set")
- Monthly Payroll Cost ("This month")
- Avg hourly pay ("Hourly average")
- Hours This Month ("Total tracked")
An Alerts panel flags what needs attention ("{count} member(s) need compensation set up", "Tax deadline: {date}", or "No alerts right now"), and a Recent Payroll Runs list plus a Monthly Payroll Cost chart ("Last 12 months") show history. Empty: "No payroll data available yet. Add members to payroll to get started."
The Payroll Readiness card ("Approved hours, compensation setup, and compliance proof before a run.") tells you whether a run is safe to make, with a Payroll Compliance Sources view listing the evidence behind it. A Next Payroll Run card shows the upcoming run (or "No upcoming payroll runs"), the member count, an Estimated total, and a Run Payroll action.
Runs
The Runs tab ("Create and manage payroll runs for your team.") lists every run in a table: Period, Pay Date, Status, Members, Gross Total, Net Total, and Run By.
The run lifecycle reads:
| Status | Meaning |
|---|---|
| Draft | Created but not yet calculated. |
| Calculating... | Working out the numbers. |
| Needs Review | Ready for you to check. |
| Approved | Signed off. |
| Processing... | Being paid out. |
| Paid | Completed. |
| Cancelled | Voided (kept for audit, excluded from reports). |
Each run's actions include View Details, Export, Void, and Delete. Delete asks "This will permanently delete the {status} pay run for {period}. This action cannot be undone." Void on a completed run asks "This will cancel the completed pay run for {period}. Cancelled pay runs remain in the system for audit purposes but are excluded from reporting."
Run Payroll
The Run Payroll flow walks you through creating a run: pick the period, review which members and hours are included, confirm the totals, and submit. A run starts as a Draft, moves to Needs Review once calculated, then to Approved and finally Paid.
Compensation
The Compensation tab is where each member's pay is set: their rate, earning types, and how their tracked hours map to pay. Members without compensation set appear in the dashboard's "{count} member(s) need compensation set up" alert.
Exports and Settings
The Settings tab ("Configure payroll defaults, active jurisdictions, source proof, and export readiness.") holds:
- Defaults: Default Pay Frequency (Weekly - 52 paychecks/year, Bi-Weekly - 26, Semi-Monthly - 24, Monthly - 12), Default Currency (USD, CAD, SAR, EUR, GBP), and Default Country (United States, Canada, Saudi Arabia).
- Overtime: Overtime Enabled ("Enable overtime calculations for hourly members"), Overtime Rate ("e.g. 1.5"), and Weekly Hours Before Overtime ("e.g. 40").
- Approval: Require Approval ("Require approval before processing payroll runs").
- Tax Regions: select the jurisdictions that drive deadline reminders and compliance sources, with a "
{n}selected" count. - Tax Deadlines: upcoming filing deadlines for your regions, each marked Upcoming, Due Soon, Overdue, or Filed ("No upcoming deadlines for your tax regions." when clear).
Save Settings confirms "Settings saved." The Exports tab produces the files your payroll process needs.
Payroll is downstream of everything else: it reads approved shift records, member compensation, and your settings. If a figure looks wrong, trace it back to the shift record before re-running.
