Requests and approvals

Book time off, file requests, track approvals, and respond when something needs you, with the full form, balance preview, and status guide.

My Requests ("Book time off, file requests, and track approvals") is where you submit anything that needs an answer from your organization and watch it move through the process.

The tabs and groups

Two tabs organize the page:

  • My Requests: everything you have submitted, grouped into Active, Needs me, and Done.
  • Approvals: requests waiting on your decision, when an approval flow routes one to you.

A filter bar searches by title and narrows by status and type, with Clear filters to reset and an Export that downloads my-requests.csv. A counter reads "Showing {visible} of {total}".

Creating a request

New Request opens a form. The fields adapt to the request type your admin built, but the full set is:

  • Request type: what you are asking for (leave, equipment, documents, and so on).
  • Title: a short summary.
  • Dates: start and end, for dated requests.
  • Duration: Full day, Half day (morning), Half day (afternoon), or Hourly, with a Unit.
  • Reason: details for your approver.
  • Attachments: upload supporting files (receipts, certificates, medical notes) by tapping or dropping them; up to the type's file limit, 20 MB each.
  • Priority: Low, Medium, High, or Urgent.

For leave types, a balance preview shows the cost before you commit: "This request uses {hours} hours when approved", "Balance after request", "{hours} hours left", or "No hours in your bank for this type yet". If the dates clash with approved leave it warns "This overlaps with existing approved leave."

Some types need a signature or a file: the form flags "Attachment required" and "Signature required" with the note "After approval you'll get a docshark document to sign. The request isn't finished until you sign."

Following a request

Open a request and the detail view shows a Progress rail (Submitted → In progress → Complete, or Needs your response / Sign document) plus three panels: Conversation (the thread with your team), Your request (the fields you submitted, expandable with "Show all {n} fields"), and Activity (the timeline).

A What happens next card reads the request's state and explains it in plain language:

The side details show Submitted on, Last updated, Request type, the Assigned team member (or "Your team will assign someone"), and the Expected response (or "No response time set").

The statuses

Requests carry detailed statuses across their lifecycle: Draft, Submitted, In review, Approved, Partially approved, Rejected, Withdrawn, Fulfilled, Cancelled, Open, In progress, Waiting on you, Resolved, Reopened, Closed, and Escalated.

For ticket-type requests, a Ticket panel adds the status in words ("Open - waiting to be picked up", "In progress - being worked on"), the assignee (or "Not yet assigned"), priority, and a Response due SLA (or "No SLA set").

Changing your mind

Each request row has an actions menu with View details and Withdraw request. Withdrawing asks "Are you sure you want to withdraw this request?" before it is removed, and confirms "Request withdrawn".

Responses can pause over holidays. If your organization marks a day as a holiday, the expected-response clock stops until work resumes.
