Taking & Tracking Breaks

Break rules are set by your manager. You just tap to start/stop.

Quick Overview

Your manager sets up what break types are available (like Meal, Rest, Paid Wellness). You see all your options, tap to start, and tap to end. The app tracks everything automatically.

Your First Break

  1. Click "Breaks" in the menu
  2. Pick a break type (Meal, Rest, etc.—your manager set these up)
  3. Tap the button to start
  4. See your break timer running
  5. Tap "End Break" when done

That's it. The app handles the rest.

How to Do It

Starting a Break

  1. Open Breaks from the sidebar
  2. If you're not on break, you'll see a Start a Break card with all available break types
  3. Tap the button for the break type you want (e.g., "Meal", "Rest", "Paid Wellness")
  4. The button shows a loading spinner while it starts
  5. Once started, the card changes to show Current Break with:
    • The break type badge
    • When you started
    • An End Break button

Break types come from your manager's settings. Whether a break is paid or unpaid, or needs approval, is already configured—you just focus on timing.

Ending a Break

  1. Tap End Break on the Current Break card
  2. The app saves your end time immediately
  3. Your usage stats and history update automatically
  4. The card switches back to Start a Break

Tip: If you refresh the page mid-break, the app remembers you're on break and shows the Current Break card again—no manual tracking needed.

What You'll See

Usage Card

Shows how much break time you've used:

  • Today: Minutes taken today
  • This week: Total minutes this week

Updates automatically after every start/end.

Break History

A table showing your recent breaks:

  • Break type
  • Start and end times
  • Duration (how long the break lasted)
  • Status badges (see Status Meanings below)
  • Newest entries at the top

If you haven't taken any breaks yet, you'll see "No past breaks" instead of an empty table.

Status Meanings

Each break in your history shows a status badge. Here's what each one means:

"Completed"
Your break started and ended normally. The system recorded both start and end times, and everything is finalized. This is the most common status.

"Pending Approval"
Your break needs manager approval before it's finalized. This happens when:

  • Your break policy requires approval for this break type
  • You exceeded the maximum duration and need approval to continue
  • Your manager set up approval requirements for certain break types

What happens: Your manager will review and approve or deny the break. You'll see the final status once they decide.

"Overrun"
You exceeded the maximum allowed duration for this break type. The break is still recorded, but it's marked as overrun. Your manager can see this in their reports.

What happens: The break is logged, but you may need to explain the overrun to your manager. Some organizations have policies about overrun breaks.

"Running"
You currently have an active break. This only appears in your current break card, not in history. Once you end the break, it moves to history with a "Completed" or other status.

Policy & Limits

Your manager sets up break policies that control what you can do. Here's what you need to know:

Maximum Duration
Each break type has a maximum allowed duration (e.g., 30 minutes for Meal, 15 minutes for Rest). If you exceed this:

  • The break continues running
  • It's marked as "Overrun" in your history
  • Your manager can see the overrun in reports
  • You may need approval depending on your organization's policy

Time Windows
Some breaks can only be taken during certain hours (e.g., Meal breaks only between 11 AM and 2 PM). If you try to start a break outside its allowed window:

  • The start button may be disabled
  • You'll see a message explaining when you can take this break

Check with your manager if you need to take a break outside the normal window.

Daily & Weekly Limits
Your organization may set limits on how much break time you can use:

  • Daily limit: Maximum minutes per day (e.g., 60 minutes total)
  • Weekly limit: Maximum minutes per week (e.g., 300 minutes total)

If you hit a limit:

  • You may not be able to start new breaks
  • The system will show you how much time you have left
  • Your manager can see your usage in reports

Approval Requirements
Some break types require manager approval:

  • Before you can start (pre-approval)
  • After you end (post-approval)
  • If you exceed the maximum duration

What you'll see: Breaks needing approval show "Pending Approval" status until your manager reviews them.

Paid vs Unpaid Breaks
Your manager configures whether breaks are paid or unpaid. This affects:

  • How your hours are calculated
  • Your earnings (if your organization tracks pay)
  • What shows in your reports

You don't need to do anything—the system tracks this automatically based on how your manager set it up.

Real Situations

Buttons disabled and won't work?
→ The page is still loading your break info. Wait a second, then try again. If it persists, refresh the page. Make sure you have an active internet connection.

Can't start a break?
→ Check these possibilities:

  • You might already have an active break running (check the Current Break card)
  • You've hit your daily or weekly limit
  • The break type isn't allowed at this time (outside time window)
  • Your break policy prevents back-to-back breaks

Ask your manager if you need clarification on why you can't start a break.

Break won't end?
→ Network issue? Tap End Break again. The app won't double-log your break, so it's safe to try multiple times. If it still doesn't work, check your internet connection and refresh the page.

Forgot to end your break?
→ Just tap End Break when you remember. The app records when you actually ended it, not when you should have. However, if you exceeded the maximum duration, it will be marked as "Overrun" and may need approval.

Break shows "Pending Approval"?
→ Your manager needs to review and approve it. This is normal for breaks that require approval. You'll see the final status once they decide. If it's been pending for a while, check with your manager.

Break shows "Overrun"?
→ You exceeded the maximum duration for that break type. The break is still recorded, but your manager can see the overrun. You may need to explain why you needed extra time. Check with your manager about your organization's overrun policy.

What Happens Next

  • Your break time is tracked and saved
  • Your manager can see your break history
  • Your usage stats update in real-time
  • You can view everything in your Reports

Breaks are simple on purpose: one tap to start, one tap to end, full visibility into how much rest time you've used. If something looks wrong, head to Reports to see your complete break log and share it with your manager if needed.
