- Your pace – Are you on track?
Past Shifts
A table showing what you've already completed:
- Workflow name
- Status (see Status Meanings below)
- How long it took
- When you finished it
- Any notes or comments
Status Meanings
Each workflow execution shows a status. Here's what each one means:
"Completed"
You successfully finished the workflow. All steps were completed, and the execution is closed. This is the ideal outcome.
"Missed"
The workflow was automatically closed because:
- The day boundary passed (for workflows without shift timeline)
- Your shift ended (for workflows with shift timeline)
- The assignment expired (validTo date passed)
- The workflow was running for more than 24 hours without completion
What happens: The workflow is marked as missed and won't appear in your active list. Your manager can see this in reports. You can't restart a missed workflow—your manager needs to reassign it if needed.
"Failed"
Something went wrong during execution. This happens when:
- A critical step failed
- The system encountered an error
- Required data was missing or invalid
What happens: The workflow stops, and the failure is logged. Check the details in Past Shifts to see what went wrong. Contact your manager if you need help understanding the failure.
"Running"
The workflow is currently active and in progress. You're working through the steps. This appears in your active list, not in Past Shifts.
"Pending"
The workflow is scheduled but hasn't started yet. It's waiting for:
- The scheduled time to arrive
- Your shift to begin (if it has a shift timeline)
- You to start it manually
Once you start it, the status changes to "Running".
"Cancelled"
The workflow was cancelled before completion. This can happen if:
- Your manager cancelled it
- The workflow was reassigned to someone else
- The assignment was revoked
What happens: The workflow is removed from your active list and appears in Past Shifts as cancelled.
How to Do It
Starting a Workflow
- Find the workflow in your list
- Check that it's within your shift hours (the app will tell you if it's too early or late)
- Tap Start or Resume (if you started it earlier)
- Follow the steps in the workflow wizard
- Complete each step as you go
Resuming a Workflow
If you started a workflow but closed the page:
- Find it in your list (it will show "In progress")
- Tap Resume to pick up where you left off
- Don't tap Start again—that would create a duplicate
Tip: Use Resume instead of restarting if you accidentally close the wizard. This prevents creating duplicate workflows.
Check-in Shortcuts
Some workflows require you to check in first. You'll see quick buttons for:
- QR Code check-in
- Face Recognition check-in
- Geofence check-in
Tap the one your workplace uses, then continue with the workflow.
Auto-Close Scenarios
Workflows can be automatically closed in several situations. Here's when and why:
Day Boundary Rollover
For workflows without a shift timeline, if you start a workflow late in the day and it's still running when the day boundary passes (midnight), it will be automatically closed and marked as "Missed".
Why: The system assumes the workflow should have been completed within the same day it was assigned.
Prevent it: Complete workflows before the day ends, or ask your manager to add a shift timeline to give you more time.
Shift Schedule End
For workflows with a shift timeline, if your shift ends and the workflow is still running, it will be automatically closed and marked as "Missed".
Why: The workflow is tied to your shift schedule. Once your shift ends, the workflow window closes.
Prevent it: Complete workflows before your shift ends, or ask your manager to adjust the shift timeline if you need more time.
Assignment Expiry
If a workflow has a "validTo" date (expiration date) and that date passes while it's still running, it will be automatically closed and marked as "Missed".
Why: The assignment is no longer valid after the expiration date.
Prevent it: Complete workflows before their expiration date, or ask your manager to extend the validity period.
Stale Execution (24+ Hours)
If a workflow has been running for more than 24 hours without completion, it will be automatically closed and marked as "Missed".
Why: Workflows shouldn't take more than 24 hours. If one does, something is likely wrong.
Prevent it: Complete workflows in a timely manner. If a workflow legitimately needs more than 24 hours, contact your manager to adjust the workflow design.
Manual Clock-Out
If you manually clock out while a workflow is running, the workflow may be automatically closed depending on your organization's settings.
Why: Some organizations require workflows to be completed during active work hours.
Check with your manager about how clock-out affects active workflows.
Shift Timeline Enforcement
Starting Workflows
If a workflow has a shift timeline, you can only start it during your scheduled shift hours. If you try to start it outside those hours:
- You'll see an "Outside scheduled hours" message
- The Start button may be disabled
- You need to wait until your shift begins
Why: Workflows with shift timelines are tied to your work schedule. This ensures you're only working on assigned tasks during your shift.
Resuming Workflows
You can resume a workflow you started earlier, even if you're outside your shift hours (depending on your organization's settings). However, if the workflow has a shift timeline and your shift has ended, you may not be able to resume it.
Check with your manager about resuming workflows outside shift hours.
Real Situations
"Outside scheduled hours" message?
→ Wait until your shift window opens. If you think the schedule is wrong, ask your manager to adjust it. Workflows with shift timelines can only be started during your assigned shift hours.
"Execution not found" error?
→ The workflow might have been deleted, reassigned to someone else, or automatically closed. Refresh the page. If it still doesn't appear, check Past Shifts to see what happened. Notify your manager if you think it was a mistake.
"Execution cancelled" or "failed"?
→ Check the Past Shifts table for details about what went wrong. "Cancelled" means it was manually cancelled (by you or your manager). "Failed" means something went wrong during execution. If you need help understanding what happened, escalate to your manager.
Workflow disappeared from your list?
→ It was automatically closed. Check Past Shifts to see the reason:
- "Missed" - Day boundary, shift end, expiry, or 24+ hours
- "Cancelled" - Manually cancelled
- "Failed" - Error during execution
Can't start a workflow?
→ Make sure you're within your scheduled shift hours (if the workflow has a shift timeline). The app only lets you start workflows during your assigned times. If you're sure you should be able to start it, ask your manager to check the schedule.
Workflow marked as "Missed" but you were working on it?
→ The workflow was automatically closed by the system. Common reasons:
- Day boundary passed (midnight)
- Your shift ended
- Assignment expired
- Running for more than 24 hours
If you were legitimately working on it, contact your manager—they may need to adjust the workflow settings or reassign it.
