Enroll your face for biometric check-ins and manage privacy controls.
Set Up Your Face & Privacy
Two simple things to do: enroll your face for check-ins and manage your privacy.
Quick Overview
Face Enrollment – Set up face recognition so you can clock in just by facing your phone or camera. Takes about 2 minutes.
Privacy & Data – Download everything Sharkforce has on you, change cookie settings, or request to delete your account. Takes about 1 minute.
Face Enrollment
Why enroll?
So you can clock in using face recognition—no QR codes or manual entry needed. It's fast, secure, and touchless.
How to Do It
- Go to Settings → Face Enrollment
- Allow camera access when prompted
- Center your face in the frame
- Follow the instructions – You'll see messages guiding you (good lighting, face centered, etc.)
- Wait for confirmation – Once enrolled, you'll see a success message
Good lighting tips:
- Face a window or bright light
- Avoid backlighting (don't have a bright window behind you)
- Make sure your face is well-lit and clear
Positioning tips:
- Center your face in the frame
- Look straight at the camera
- Remove sunglasses or masks
- Make sure nothing is blocking your face
When to Re-Enroll
Re-enrolling your facial data helps maintain accurate recognition. Consider re-enrolling in these situations:
Recognition Issues
If you experience problems with the face recognition check-in feature, re-enrolling can help improve accuracy. This includes:
- Frequent check-in failures even with good lighting
- System not recognizing you consistently
- Check-in taking longer than usual
- Error messages during check-in attempts
Significant Appearance Changes
After notable changes to your appearance, updating your facial data ensures continued recognition accuracy. Re-enroll if you have:
- Changed your hairstyle significantly (major haircut, color change, new style)
- Grown or removed facial hair (beard, mustache, sideburns)
- Gained or lost significant weight
- Started wearing glasses regularly (if you didn't before)
- Removed glasses (if you wore them during enrollment)
- Any other major facial feature changes
Periodic Updates
Regularly refreshing your enrollment helps maintain optimal performance of the face recognition system. Consider re-enrolling:
- Every 6-12 months to keep your reference photo current
- After extended periods of non-use
- When you notice gradual recognition accuracy decline
- To ensure your enrollment matches current lighting conditions
Tips for Re-Enrollment
Follow these best practices when re-enrolling for the best results:
- Re-enroll in the same lighting conditions you'll use for check-in
- Ensure good lighting (face a window or bright light)
- Center your face in the frame and look straight at the camera
- Remove sunglasses, masks, or anything blocking your face
- Make sure your camera lens is clean
- Ensure a stable internet connection
Note: Your organization may have limits on how many times you can re-enroll per month. Check your enrollment status page to see how many attempts you have remaining and when they reset.
Managing Your Enrollment
Deleting Your Enrollment
You can delete your own face enrollment at any time from the Face Enrollment settings page. When you delete your enrollment:
- Your facial data is removed from the system
- You'll need to re-enroll to use face recognition check-in again
- You can still use other check-in methods (QR code, geofence) while not enrolled
To delete your enrollment:
- Go to Settings → Face Enrollment
- Click the Delete Enrollment button
- Confirm the deletion in the dialog
Note: After deleting, you'll need to re-enroll if you want to use face recognition check-in again. Make sure you have enrollment attempts remaining if you plan to re-enroll immediately.
Why allow users to delete their own enrollment? Organizations are recommended to keep this feature enabled because:
- Privacy control: Users have direct control over their biometric data, building trust and compliance with privacy regulations
- Self-service efficiency: Users can manage their own enrollment without requiring admin intervention, reducing support burden
- Data accuracy: Users can remove outdated or incorrect enrollments and create fresh ones, improving recognition accuracy
- User autonomy: Empowers users to manage their own data, which is especially important for compliance with GDPR and similar regulations
Re-Enrolling Your Enrollment
You can re-enroll your face at any time from the Face Enrollment settings page. Re-enrolling updates your facial reference data with your current appearance.
To re-enroll:
- Go to Settings → Face Enrollment
- Click the Re-enroll button
- Follow the enrollment process (same as initial enrollment)
Note: Re-enrollment counts against your monthly enrollment limit. Check your enrollment status to see how many attempts you have remaining.
Why allow users to re-enroll themselves? Organizations are recommended to keep this feature enabled because:
- Improved accuracy: Users can update their enrollment when their appearance changes, maintaining high recognition rates without admin intervention
- Reduced support tickets: Users can self-serve enrollment updates instead of contacting support, saving time for both users and admins
- Better user experience: Immediate access to re-enrollment means users can fix recognition issues quickly, improving satisfaction
- Proactive maintenance: Users can refresh their enrollment periodically to keep recognition accurate, preventing future check-in failures
Admin Visibility
Your organization's administrators can see enrollment status for all team members from the admin dashboard. This includes:
- Who is enrolled and who isn't
- Enrollment dates
- Enrollment attempts and limits
- Ability to force re-enrollment if needed
This visibility helps admins manage face recognition across the organization and ensure team members can use the feature when needed.
Admin Controls: Administrators can independently control whether users can delete or re-enroll their own enrollments through the Facial Recognition Settings in the admin dashboard. Both features are enabled by default and recommended to remain enabled for the benefits listed above.
Complete Enrollment Error Reference
If enrollment fails, you'll see one of these specific error messages:
"Feature not enabled"
Your organization hasn't enabled face recognition yet. Your manager needs to:
- Enable face recognition in admin settings
- Configure the face recognition provider (AWS Rekognition or Azure Face)
- Set up the confidence threshold
Fix it: Contact your manager or admin to enable face recognition for your organization.
"Face not enrolled" or "Enrollment failed"
The system couldn't create your face profile. This happens when:
- Image quality is too poor (blurry, too dark, too bright)
- Your face isn't clearly visible
- Camera permissions were denied
- Network connection failed during upload
Fix it:
- Ensure good lighting (face a window or bright light)
- Center your face in the frame
- Make sure your camera lens is clean
- Check your internet connection
- Try again
"Face has sunglasses"
The system detected you're wearing sunglasses. Remove them and try again. If you need to wear glasses, make sure they're clear (not tinted) and your eyes are fully visible.
"Bad face pose"
Your face isn't positioned correctly. The system needs:
- Face looking straight at the camera (not up, down, or to the side)
- Head level (not tilted left or right)
- Face centered in the frame
Fix it: Adjust your position to look straight at the camera with your head level.
"Multiple faces detected"
The camera sees more than one person. Make sure you're alone in the frame and step away from others before trying again.
"Low confidence" or "Quality too low"
The image quality isn't good enough. This happens when:
- Lighting is too dark or too bright
- Image is blurry or out of focus
- Face is partially hidden
- Camera quality is too low
Fix it:
- Move to better lighting (face a window, avoid backlighting)
- Ensure your face is fully visible and in focus
- Clean your camera lens
- Try again in a well-lit area
"Face occluded"
Something is blocking part of your face. Remove:
- Masks
- Hands or objects in front of your face
- Hair covering major facial features
- Anything blocking your eyes, nose, or mouth
Fix it: Clear anything blocking your face and try again.
"Liveness check failed"
The system couldn't verify you're a real person (not a photo). This happens when:
- You're showing a photo instead of your actual face
- Camera quality is too poor
- Movement detection failed
Fix it: Make sure you're using your actual face (not a photo), and try again in better lighting with a clear camera view.
Quality Requirements for Enrollment
For successful enrollment, the system needs:
- Brightness: Your face should be well-lit (brightness level > 35)
- Sharpness: Image must be clear and in focus (sharpness > 9)
- Pose: Face should be straight-on (Yaw < 30°, Pitch < 25°, Roll < 25°)
- Visibility: All major facial features must be visible (eyes, nose, mouth)
- Single face: Only one person in the frame
- No accessories: Remove sunglasses, masks, or anything blocking your face
Tips for best results:
- Face a window or bright light source
- Avoid backlighting (don't have a bright window behind you)
- Center your face in the frame
- Look directly at the camera
- Keep your head level
- Ensure good internet connection
