Curate documents, tune the AI profile, and govern memories for Sharkforce Copilot.

Upload documents, set personality, and manage what your Mako knows.

Quick Overview

This is where you control everything your Mako knows. Three tabs organize it:

  • Knowledge – Upload documents and policies
  • Mako Profile – Set personality and instructions
  • Memories – Important facts the AI should remember

Knowledge Tab

Upload documents:

  • Add policies, procedures, manuals, guides, FAQs, and more
  • The AI will use these to answer questions accurately

Managing Documents

View all documents:

  • See every document you've uploaded
  • Each shows:
    • Type (Policy, SOP, Guide, FAQ, etc.)
    • Status (Processing, Completed, Failed)
    • Summary of what it contains
    • When it was uploaded

Search & filter:

  • Search by keyword to find documents quickly
  • Filter by document type
  • Filter by processing status

Upload new documents:

  1. Click Create Knowledge Entry
  2. Fill in:
    • Name – Descriptive name (e.g., "Warehouse Receiving SOP v3")
    • Type – What kind of document is it?
    • Content – Paste or type the content
    • Summary (optional) – Brief description
  3. Submit
  4. Watch progress as it processes

Edit or delete:

  • Click any document to edit its content or type
  • Delete documents you no longer need
  • Changes save immediately

Tips:

  • Upload SOPs exactly as your team follows them—Copilot will cite these word-for-word
  • Use descriptive names so you can find them easily
  • Keep documents up to date

Mako Profile Tab

Set personality:

  • Choose how Copilot should talk:
    • Formal – Professional and precise
    • Friendly – Conversational and warm
    • Concise – Brief and to the point
    • Detailed – Thorough explanations

Set instructions:

  • Tell Copilot how to behave
  • Examples:
    • "Never share internal-only information"
    • "Always cite sources when answering"
    • "Be helpful but don't make assumptions"
  • Use the rich text editor for formatting

Memory settings:

  • Choose how much Copilot should remember:
    • Basic – Remember recent conversations
    • Enhanced – Remember more context
    • Advanced – Remember extensive history
  • Set how many days of context to keep (1-365 days)

Helper cards:

  • Info panels explain how to write good instructions
  • Include example configurations
  • Dismiss them if you don't need help (they'll reappear in 2 weeks)

Save:

  • Click Save to apply all changes
  • Button disables while saving
  • You'll see a success message when done

Memories Tab

Auto-memory generation:

  • Toggle on to let Copilot automatically create memories from conversations
  • Copilot learns what's important over time
  • You can approve or reject suggestions

Manual memories:

  • Add important facts manually
  • Set importance level (High, Medium, Low)
  • Examples:
    • "Our main office is at 123 Main St"
    • "John is the warehouse manager"
    • "We process returns on Fridays"

Managing memories:

  • Search by keyword
  • Filter by importance level
  • See all memories in a paginated list
  • Delete memories that are no longer relevant

Memory suggestions:

  • See memories Copilot suggested from conversations
  • Approve good ones, reject bad ones
  • This teaches Copilot what matters to you

Live updates:

  • New memories appear automatically
  • Changes sync in real-time
  • No need to refresh

Why It Matters

Better answers:

  • Clean, organized knowledge means Copilot gives accurate answers
  • Documents are cited so you know where information came from
  • Memories help Copilot remember important facts

Governance:

  • Every change is logged
  • You can track who added or deleted what
  • Full audit trail for compliance

Performance:

  • Well-organized knowledge means faster responses
  • Categorized documents are easier to search
  • Lean memories reduce processing time

Real Situations

Document upload fails?
→ Check that the content isn't too large. Make sure you filled in all required fields. Try again—if it still fails, check the error message for details.

AI not using uploaded documents?
→ Make sure documents have finished processing (status should be "Completed"). If they're still processing, wait a bit and try asking Copilot again.

Memories not saving?
→ Check that you filled in the memory content and selected an importance level. Make sure you have permission to manage memories.

Can't find a document?
→ Use the search bar to search by keyword. Try different search terms or filter by document type.

What Happens Next

  • Uploaded documents are processed and made available to Copilot
  • Profile changes apply immediately to new conversations
  • Memories are used in all Copilot interactions
  • Everything updates in real-time

Keep this area tidy: upload official documents, set a personality that matches your company voice, and prune memories that are no longer relevant.
